Tour Booking Terms & Conditions

These Booking Terms & Conditions ("Terms") govern all bookings made with Motherland Journeys UK. Please read them carefully before making a booking.

1. About These Terms

These Terms & Conditions form the agreement between you ("the Traveller", "you" or "your") and Motherland Journeys UK ("we", "our" or "us") when you request a quotation, make a booking or participate in one of our private tours.

By requesting a quotation, paying a booking deposit, making full payment or confirming a booking, you confirm that you have read, understood and agree to these Terms.

If you make a booking on behalf of other travellers, you confirm that:

• You are at least 18 years of age.

• You have authority to accept these Terms on behalf of every traveller included in the booking.

• You have made these Terms available to everyone travelling under the booking.

These Terms, together with your personalised quotation, booking confirmation and any documents specifically referred to within them, form the entire agreement between you and Motherland Journeys UK.

Nothing within these Terms removes or limits any rights you may have under applicable consumer protection legislation.

2. About Motherland Journeys UK

d Journeys UK is a UK-based sole trader specialising in private guided tours and authentic cultural experiences throughout Ghana.

We create personalised tour itineraries designed around your interests, travel style and preferred experiences.

Our aim is to help visitors experience Ghana's history, culture, heritage, landscapes and communities through carefully planned private tours supported by trusted local guides, drivers and tourism partners.

We do not operate as an airline, hotel, accommodation provider or travel insurance company.

Unless expressly confirmed in writing, we do not arrange or book flights, accommodation, visas or travel insurance.

3. Our Services

Depending on your personalised itinerary, our services may include:

• Personal tour consultation.

• Personalised tour itinerary design.

• Private guided tours.

• Private transport within Ghana.

• Experienced local guides.

• Heritage and cultural experiences.

• Attraction bookings.

• Community visits.

• Food and culinary experiences.

• Airport transfers where specifically included.

• Restaurant recommendations.

• Professional photography or videography where requested.

• Customer support before and during your tour.

Only the services specifically confirmed within your personalised quotation and booking confirmation are included.

Any service not confirmed in writing is excluded from your booking.

4. Services We Do Not Provide

Unless expressly confirmed in writing, Motherland Journeys UK does not provide:

• International flight bookings.

• Domestic flight bookings.

• Accommodation bookings.

• Passport services.

• Visa or immigration services.

• Travel insurance.

• Medical advice.

• Vaccinations.

• Currency exchange.

• Personal shopping services.

Travellers remain responsible for arranging these independently.

We're always happy to recommend trusted accommodation providers if requested, but all accommodation bookings are made directly by the traveller.

5. Tour Quotations

Submitting an enquiry does not create a booking.

Following your enquiry, Motherland Journeys UK will prepare a personalised quotation based upon the information you provide.

Quotations are individually prepared and are based upon:

• Your preferred travel dates.

• Number of travellers.

• Requested destinations.

• Planned experiences.

• Availability.

• Current supplier prices.

• Applicable taxes and entrance fees.

Unless otherwise stated, quotations are:

• Provided in Pounds Sterling (GBP).

• Subject to availability.

• Valid until the expiry date shown on the quotation.

If your quotation expires before being accepted, prices and availability may need to be reviewed before a revised quotation can be issued.

6. Confirming Your Booking

Your booking is confirmed only when:

• You accept your quotation.

• You provide all information reasonably required to prepare your tour.

• The required booking deposit has been received.

• Motherland Journeys UK issues written confirmation of your booking.

Until written confirmation has been issued, all requested tours, guides, transport, activities and optional extras remain subject to availability.

7. Booking Deposit

A non-refundable booking deposit of £60 per adult and £25 per child is required to secure your tour dates.

Once your booking deposit has been received, we will begin preparing your personalised itinerary, confirming suppliers and making the arrangements necessary for your tour.

As work begins immediately after your booking is confirmed, the booking deposit is non-refundable except where required by law.

Bookings made within 45 days of the tour start date may require payment in full at the time of booking.

8. Final Payment

Unless otherwise agreed in writing, the remaining balance must be paid no later than 45 days before your tour start date.

Failure to make payment by the due date may result in cancellation of your booking.

If your booking is cancelled because payment has not been received, Motherland Journeys UK reserves the right to recover any reasonable costs already incurred on your behalf.

Once your final balance has been received, we will issue your final itinerary together with all relevant tour information before your departure.

9. Payment Methods

Motherland Journeys UK currently accepts the following payment methods:

• Booking Deposit – PayPal

• Final Balance – Bank Transfer

Alternative payment methods may be accepted only where agreed in writing before payment is due.

All payments must be made in Pounds Sterling (GBP) unless otherwise agreed.

Customers making international bank transfers are responsible for all associated bank charges, transfer fees and currency conversion costs to ensure that the full invoiced amount is received by Motherland Journeys UK.

Please quote your booking reference when making payment.

Payment instructions will be provided after your booking has been confirmed.

10. Prices

Your personalised quotation includes only those services specifically identified within your quotation and booking confirmation.

Prices may change before your booking is confirmed due to:

• Supplier price changes.

• Availability.

• Government taxes or charges.

• Attraction entrance fees.

• Fuel or transport costs.

• Changes requested by you.

Once your booking has been confirmed, prices will only change if:

• You request changes to your itinerary.

• Information provided by you was incomplete or incorrect.

• New taxes or mandatory charges are introduced

• Changes are required by law.

Should any additional payment become necessary, we will explain the reason before requesting payment.

11. What's Included & What's Not Included

Your personalised quotation will clearly identify the services included within your tour.

Unless specifically confirmed in writing, your booking does not include:

• International flights.

• Domestic flights.

• Accommodation.

• Passport or visa services.

• Immigration advice.

• Travel insurance.

• Vaccinations or medical treatment.

• Meals and drinks unless stated.

• Personal shopping.

• Tips and gratuities.

• Laundry services.

• Telephone or internet charges.

• Optional activities arranged independently

• Excess baggage charges.

• Airline fees.

• Any service not expressly included in your quotation.

Travellers remain responsible for all personal expenses incurred during their trip unless specifically included within their booking confirmation.

12. Passports, Visas & Entry Requirement

It is your responsibility to ensure that you and everyone travelling in your party hold valid travel documentation for your journey.

This includes, where applicable:

• A valid passport.

• Any required visas or entry permits.

• Transit visas.

• Proof of onward travel.

• Any documentation required by airlines or immigration authorities.

Entry requirements vary according to nationality, country of residence and country of departure.

Motherland Journeys UK does not provide passport, visa or immigration advice and accepts no responsibility if you are refused boarding or entry due to missing, incorrect or expired documentation

We strongly recommend checking the latest official government travel advice before booking and again before travelling.

13. Health, Vaccinations & Travel Insurance

You are responsible for ensuring that you meet all health requirements applicable to your journey.

This includes obtaining:

• Recommended or mandatory vaccinations.

• Required medications.

• Medical certificates where necessary.

• Comprehensive travel insurance.

Health requirements may change at any time.

We recommend seeking advice from your Doctor, travel clinic or another suitably qualified healthcare professional before travelling.

Motherland Journeys UK does not provide medical advice and accepts no responsibility for decisions relating to vaccinations, medication or medical treatment.

Comprehensive travel insurance is strongly recommended and should ideally provide cover for:

• Emergency medical expenses.

• Medical evacuation.

• Trip cancellation.

• Curtailment.

• Travel delays.

• Personal belongings.

• Personal liability

Travelling without adequate travel insurance is entirely at your own risk.

14. Medical Conditions, Dietary Requirements & Accessibility

Please tell us before booking if you or anyone travelling has:

• A medical condition.

• A disability.

• Mobility requirements.

• Allergies.

• Dietary requirements.

• Accessibility requirements.

• Any other circumstance that may affect your tour.

We will make reasonable efforts to communicate relevant information to our local partners where appropriate.

However, we cannot guarantee that every location, attraction or supplier will be able to accommodate every individual requirement.

Failure to provide relevant information before booking may affect the suitability of your tour and may result in additional costs.

15. Flights & Accommodation

Motherland Journeys UK specialises in private guided tours within Ghana.

We do not arrange or book international flights, domestic flights or accommodation unless expressly agreed in writing.

Travellers are responsible for arranging their own:

• Flights.

• Accommodation.

• Airport check-in.

• Airline requirements.

• Baggage.

• Flight amendments.

• Flight cancellations.

• Travel documentation.

We're happy to recommend trusted hotels and accommodation providers based on your preferred location and budget, however all accommodation bookings are made directly by the traveller.

We recommend waiting until your tour has been confirmed before purchasing flights or making accommodation reservations.

Motherland Journeys UK accepts no responsibility for airline delays, cancellations, schedule changes, accommodation issues or other services booked independently by the traveller.

16. Transport

Where private transport forms part of your confirmed tour itinerary, transport will be provided between destinations included within your scheduled tour.

Journey times are estimates only and may vary due to:

• Traffic conditions.

• Road closures.

• Weather conditions.

• Vehicle breakdowns.

• Government restrictions.

• Operational requirements.

Private transport is provided only during the confirmed tour itinerary and does not include airport transfers unless expressly agreed in writing.

Travellers are responsible for arranging their own transportation to and from Kotoka International Airport, including transfers between the airport and their chosen accommodation.

Motherland Journeys UK accepts no responsibility for delays or additional costs arising from independently arranged transport before or after your tour.

17. Changes Requested by You

If you wish to amend your booking after it has been confirmed, please contact Motherland Journeys UK as soon as possible.

We will make reasonable efforts to accommodate your request; however, changes cannot be guaranteed.

Any amendment may be subject to:

• Availability.

• Additional supplier charges.

• Administrative costs.

• Price differences.

• Changes to your itinerary.

You will be advised of any additional costs before any amendment is confirmed.

Some services or activities may be non-amendable or subject to the terms and conditions of the relevant supplier.

18. Cancellation by You

You may cancel your booking at any time within 14 days by notifying Motherland Journeys UK in writing.

The date we receive your written cancellation will be treated as the effective cancellation date.

Your Right to Cancel Within 14 Days

Where applicable consumer protection legislation provides a statutory cooling-off period, you may have the right to cancel your booking within 14 days of entering into the contract.

However, by asking Motherland Journeys UK to begin preparing your personalised tour immediately, you expressly request that we begin providing our services before the cooling-off period expires.

If you cancel after work has begun, you may be required to pay for services already provided together with any reasonable costs already incurred, as permitted by applicable law.

Cancellation Charges

Unless otherwise required by law:

The booking deposit (£60 per adult and £25 per child) is non-refundable once work on your booking has commenced.
Any non-refundable payments already made to third-party suppliers remain payable.
You remain responsible for any reasonable costs incurred by Motherland Journeys UK before cancellation.

If cancellation occurs after your final balance has been paid, any refund will depend upon:

Services already provided.
Costs already incurred.
The cancellation terms of any relevant suppliers.
Any recoverable amounts available.

Where a refund is due, it will normally be made using the original payment method.

19. Changes or Cancellation by Motherland Journeys UK

Although every reasonable effort is made to provide the services confirmed within your itinerary, circumstances may occasionally require changes.

Where possible, we will notify you promptly and discuss suitable alternatives before implementing any significant change.

If we are unable to provide a significant part of your confirmed tour, we may:

• Offer a suitable alternative.

• Offer a credit where appropriate.

• Provide a refund of any recoverable amounts after taking into account services already provided and any payments already made to third-party suppliers.

Nothing in this section affects any statutory rights you may have under applicable consumer protection legislation.

20. Events Beyond Our Reasonable Control (Force Majeure)

Motherland Journeys UK shall not be liable for delays, cancellations, losses or failure to perform our obligations where this results from circumstances beyond our reasonable control.

These may include, but are not limited to:

• Natural disasters.

• Severe weather.

• Floods.

• Earthquakes.

• Wildfires.

• Epidemics or pandemics.

• Government restrictions.

• Changes in law or regulation.

• Civil unrest.

• Political instability.

• Terrorism.

• Industrial action.

• Airline disruption.

• Transport failures.

• Utility failures.

• Border closures.

• Acts or omissions of independent third-party suppliers

Where reasonably possible, we will work with you and our suppliers to minimise disruption and identify suitable alternatives.

Any refund following a force majeure event will be subject to any recoverable amounts available.

21. Traveller Responsibilitie

All travellers are responsible for conducting themselves in a respectful, lawful and considerate manner throughout their tour.

You are responsible for

• Complying with all applicable laws and regulations.

• Following the reasonable instructions of guides, drivers and local partners.

• Respecting local customs, traditions and cultural heritage

• Arriving on time for scheduled tours and activities.

• Providing accurate booking information.

• Ensuring all payments are made by the agreed dates.

• Holding valid travel documents throughout your trip.

Motherland Journeys UK accepts no responsibility for losses, additional costs or disruption resulting from your failure to fulfil these responsibilities.

22. Traveller Conduct

We are committed to providing enjoyable and respectful experiences for all travellers and the communities we visit.

You must not engage in behaviour that:

• Endangers yourself or others.

• Damages vehicles or property.

• Is abusive, threatening, discriminatory or offensive.

• Disrupts the enjoyment or safety of others.

• Breaches local laws or regulations.

If your behaviour is considered unacceptable by Motherland Journeys UK or one of our trusted local partners, you may be refused further participation in your tour without refund.

You remain responsible for any additional costs arising from your conduct, including repair costs, replacement costs, fines or compensation payable to third parties.

23. Children

Travellers under 18 years of age must be accompanied by a parent, legal guardian or another responsible adult authorised to travel with them.

The accompanying adult accepts full responsibility for the supervision, safety and behaviour of any child within their party.

Parents and guardians are responsible for ensuring all documentation and travel requirements applicable to children have been satisfied before travel.

24. Photography & Videography

During your tour, photographs or video recordings may occasionally be taken by Motherland Journeys UK or our trusted local partners.

We will always ask your permission before using identifiable images of you for our website, social media, marketing or promotional materials.

You may withdraw your consent at any time by contacting us in writing.

Withdrawal of consent will apply to future use only and will not affect material already published before your request was received.

Where professional photography or videography has been arranged as part of your booking, ownership and licensing may also be subject to the photographer's own terms and conditions.

25. Third-Party Suppliers

Some services included within your itinerary are provided by carefully selected independent suppliers.

These may include:

• Local guides.

• Private drivers.

• Restaurants.

• Cultural organisations.

• Activity providers.

• Attraction operators.

Each supplier remains independently responsible for the services they provide.

While Motherland Journeys UK exercises reasonable care when selecting suppliers, we cannot guarantee the performance of services that remain outside our direct control.

Where applicable, suppliers may operate under their own terms and conditions.

26. Limitation of Liability

Motherland Journeys UK will exercise reasonable care and skill when designing and delivering your personalised tour.

To the fullest extent permitted by law, we shall not be liable for losses arising from:

• Acts or omissions of independent suppliers.

• Airline disruption.

• Government action.

• Immigration decisions.

• Border closures.

• Force majeure events.

• Incorrect or incomplete information provided by you.

• Your failure to comply with these Terms.

• Circumstances beyond our reasonable control.

Nothing in these Terms excludes or limits liability for:

• Death or personal injury caused by our negligence.

• Fraud or fraudulent misrepresentation.

• Any liability that cannot legally be excluded under the laws of England and Wales.

27. Personal Belongings

You are solely responsible for your personal belongings throughout your tour.

Motherland Journeys UK accepts no responsibility for the loss, theft or damage of:

• Luggage.

• Passports.

• Travel documents.

• Money.

• Jewellery.

• Cameras.

• Mobile phones.

• Electronic devices.

• Personal belongings of any kind.

Any loss should be reported immediately to the relevant local authority, supplier and your travel insurance provider where appropriate.

28. Problems During Your Tour

If you experience any problem with a service arranged by Motherland Journeys UK, you should notify both the relevant supplier and Motherland Journeys UK as soon as reasonably possible.

Prompt notification gives us the opportunity to investigate the issue and, where reasonably possible, help resolve it during your tour.

Failure to report a problem while travelling may affect our ability to investigate the matter or assist you after your tour has ended.

29. Complaints

If you wish to make a complaint after returning home, please submit it in writing within 28 days of the final day of your tour.

Your complaint should include:

• Your booking reference.

• A description of the issue.

• Relevant dates.

• Copies of any supporting documents or photographs.

We will acknowledge receipt of your complaint and aim to investigate and respond within a reasonable period.

Where your complaint relates to services provided by an independent supplier, we may need to consult that supplier before responding.

Nothing in this section affects any legal rights you may have under applicable law.

30. Personal Information

Motherland Journeys UK processes personal information in accordance with our Privacy Policy.

By making a booking, you acknowledge that we may collect, use and share your personal information where necessary to:

• Prepare your personalised tour.

• Arrange services included within your itinerary.

• Communicate with trusted local suppliers.

• Process payments.

• Comply with legal obligations.

• Provide customer support.

Where it is necessary to share information with trusted suppliers in Ghana, we will take reasonable steps to ensure your personal information is handled appropriately and in accordance with applicable data protection legislation.

31. Intellectual Property

All content created by or for Motherland Journeys UK, including but not limited to:

• Tour itineraries.

• Website content

• Photographs.

• Logos.

• Branding.

• Graphics.

• Written materials.

• Marketing content.

remains the intellectual property of Motherland Journeys UK or the relevant rights holder unless otherwise stated.

Your personalised itinerary is provided solely for your own personal use and must not be copied, reproduced, sold, distributed or used for commercial purposes without our prior written permission.

32. Changes to These Terms

Motherland Journeys UK may update these Booking Terms & Conditions from time to time.

Any revised version will be published on our website together with the updated "Last Updated" date.

The version in force on the date your booking is confirmed will apply to your booking unless a change is required by law or both parties agree otherwise in writing.

33. Governing Law & Jurisdiction

These Booking Terms & Conditions and any agreement between you and Motherland Journeys UK are governed by the laws of England and Wales.

If you are booking as a consumer from another country, nothing within these Terms removes or limits any mandatory consumer rights that apply under the laws of your country of residence where those rights cannot legally be excluded.

Any dispute arising from these Terms shall be subject to the jurisdiction of the courts of England and Wales except where applicable law provides otherwise.

34. Website & Intellectual Property

All content displayed on the Motherland Journeys UK website, including text, images, graphics, branding, logos and other materials, is protected by copyright and intellectual property laws.

You may access our website for your personal, non-commercial use only.

You may not reproduce, distribute, modify or republish any part of our website without our prior written permission.

35. Severability

If any provision of these Booking Terms & Conditions is found by a court or other competent authority to be invalid, unlawful or unenforceable, that provision shall be treated as severed from the remaining Terms.

The remaining provisions shall continue in full force and effect.

37. Acceptance of These Terms

By requesting a quotation, paying a booking deposit, making full payment or confirming a booking with Motherland Journeys UK, you acknowledge that you have read, understood and agree to be bound by these Booking Terms & Conditions.

These Terms form the entire agreement between you and Motherland Journeys UK and replace any previous versions relating to the same booking.
